Rental Terms & Conditions

These Rental Terms and Conditions (“Agreement”) govern reservations and vehicle rentals provided by Vista Rental Cars (“Vista”, “we”, “us”, “our”). By making a reservation, signing a rental agreement, or taking possession of a vehicle (collectively, the “Services”), you (“Renter”, “you”, “your”) agree to be bound by this Agreement.
If you do not accept these Terms, do not proceed with the reservation or vehicle pickup.
1. Definitions
- Vehicle: The automobile and any accessories provided (e.g., keys, key fobs, child seats, GPS, toll tags).
- Rental Period: The period from the scheduled pickup time until the vehicle is returned, checked in by Vista, and any final charges are settled.
- Optional Products: Any add-ons such as child seats, GPS, roadside protection upgrades, and insurance waivers.
- Location: A Vista branch or other approved pickup/return point.
2. Eligibility to Rent
2.1 Age
- You must be 25 years or older to rent.
- If permitted by local law, drivers aged 21–24 may be eligible subject to a Young Driver surcharge and/or vehicle class restrictions, as shown in your booking confirmation.
2.2 License
- Present a valid, unexpired driver’s license issued in your country of residence.
- International renters: An International Driving Permit (IDP) may be required in addition to your home license if the license is not in English or as required by law.
- Licenses subject to restrictions (e.g., provisional) may be declined.
2.3 Identification & Payment
- Provide a payment card (credit or debit) in the renter’s name and a government‑issued photo ID (e.g., passport).
- We may require additional identity verification (e.g., proof of address, return travel details).
- Security deposit/authorization: A security hold may be placed on your card and released upon proper return; actual availability of funds depends on your card issuer.
- Cash:
- Security deposits may be accepted in cash when card authorization is not possible.
- Cash on delivery may be accepted at Vista’s discretion if payment via card is not feasible.
- If payment fails or authorization cannot be obtained, we may decline or cancel the rental.
3. Reservations, Changes, and Cancellations
3.1 Confirmation
- Your reservation is confirmed upon payment authorization or deposit and our written confirmation (email/SMS/portal).
- A reservation is considered confirmed only when full payment has been received and an official email confirmation has been issued by Vista.
- Customers booking several weeks in advance may secure/confirm their rental by paying a 50% deposit at the time of booking. The remaining balance must be paid no later than 36 hours prior to the rental date (contact Vista).
- Until payment is made, either in full or via the required deposit, the vehicle remains available and may be booked by another customer who completed payment first.
3.2 Changes & Extensions
- Changes are subject to availability and may alter your rate.
- To extend a rental, you must obtain Vista’s written approval before the scheduled return time so we can re‑authorize funds. Unauthorized extensions may be charged at the prevailing daily rate plus fees.
3.3 Cancellations & No‑Shows
- Cancellations: Unless your confirmation states otherwise, cancellations within 24 hours of the scheduled pickup may incur a cancellation fee (up to one rental day).
- No‑Shows: Failure to appear at the scheduled pickup time without notice may incur a no‑show fee (up to one rental day). Prepaid amounts may be forfeited as per your rate rules.
4. Pickup, Use, and Return
4.1 Pickup Requirements
- Before release, you must provide:
- Valid driver’s license (+ IDP if required),
- Payment card and matching photo ID, and
- Any additional documentation requested by Vista.
- A Vehicle Condition Report (and photos) may be completed at pickup. Please point out any pre‑existing damage.
4.2 Authorized Drivers
- Only drivers listed on the rental agreement may operate the vehicle.
- Additional drivers must present required documents before the vehicle is released (or as otherwise approved by Vista).
4.3 Prohibited Uses
You must not:
- Use the vehicle for any illegal purpose.
- Race, time‑trial, off‑road, towing, or transport hazardous materials.
- Operate the vehicle under the influence of alcohol, drugs, or impairing substances.
- Permit unlisted drivers to operate.
- Exceed the geographic limits specified in your agreement; no cross‑border or inter‑island ferry travel without prior written consent.
- Use the vehicle for ride‑hailing, delivery, or subleasing without Vista’s written consent.
Violation may void coverage, trigger early termination, and incur fees.
4.4 Mileage
- If your rate includes a mileage limit, excess kilometers/miles are charged at the posted per‑unit rate.
- If unlimited mileage applies, it will be stated in your confirmation.
4.5 Tracking & Telematics
- Vehicles may include GPS/telematics for safety, maintenance, recovery, and compliance monitoring. By renting, you consent to such use in accordance with our Privacy Policy.
4.6 Return
- Return the vehicle to the agreed location, by the agreed date and time, in the same condition (normal wear and tear excepted).
- Grace period: Up to 29 minutes after the scheduled return time (if provided in your rate). Beyond that, additional hourly or daily charges may apply.
- Unauthorized different‑location returns may incur a relocation fee.
4.7 Fuel
- Like‑for‑like: Return with the same fuel level as at pickup.
- If not, we may refuel and charge: fuel cost + a refueling service fee (see posted rates).
4.8 Cleanliness, Pets & Smoking
- The vehicle must be returned clean.
- Smoking/vaping is prohibited. Evidence of smoking may incur a detailing fee.
- Pets are allowed only in appropriate carriers; excess hair, odors, or damage may incur a cleaning fee.
- Cleaning fees are tiered (light, standard, deep) per posted rates.
4.9 Keys & Accessories
- Lost/damaged keys/key fobs or accessories (e.g., child seats, GPS) are charged at replacement cost + admin fee.
5. Insurance, Damage, and Liability
5.1 Your Responsibility
- You are responsible for loss of or damage to the vehicle during the Rental Period, including:
- Collision, vandalism, theft/attempted theft, missing parts, glass/tires/wheels (unless your coverage states otherwise), misfueling, interior damage, and related downtime/loss‑of‑use where permitted by law.
- Standard insurance may not cover all damages. Review your coverage selections carefully.
5.2 Optional Coverage
- At pickup (or booking), you may elect available protections, such as:
- Collision Damage Waiver (CDW)
- Extra Protection Waiver (EPW)
- Super Protection Waiver (EPW)
- Personal Accident Coverage (PAC)
- Each product is subject to its availability, specific terms, conditions, exclusions, and deductibles/excess.
5.3 Third‑Party Liability
- You must comply with local third‑party liability insurance requirements. If included in your rate, the limits and exclusions are as stated in your confirmation and policy wording.
5.4 Accident, Theft, and Incident Procedure
In the event of an incident:
- Ensure safety and contact emergency services if needed.
- Do not admit liability at the scene.
- Notify Vista immediately and follow instructions.
- Obtain details of all parties and witnesses; take photos of the scene and damage.
- File a police report if required by law or by Vista.
- Complete Vista’s incident report within the timeframe we specify.
Failure to follow procedure may affect coverage and your financial responsibility.
6. Roadside Assistance
- Basic roadside assistance is included for mechanical failures not caused by misuse.
- Services for renter‑caused incidents (e.g., lockouts, out‑of‑fuel, flat tires, lost keys, battery due to lights left on) may incur additional charges unless you purchased an upgraded assistance package (if offered).
- Coverage areas and response times vary by location and conditions.
7. Fees and Administrative Charges
You may be charged any of the following where applicable (see posted rates or your confirmation):
- Late Return Fee (after any grace period).
- Refueling Fee (fuel + service charge).
- Cleaning/Detailing Fees (including smoke odor remediation).
- Damage or Theft charges (repair/replacement, loss‑of‑use where permitted, diminished value where permitted, appraisal, and admin fees).
- Lost/Damaged Keys & Accessories (replacement + admin).
- Tolls, Tickets, Fines, and Violations incurred during the Rental Period, plus a per‑event administrative fee.
- Relocation Fee for unauthorized different‑location returns.
- Young Driver Surcharge (if applicable).
- Additional Driver Fee (if applicable).
We may charge your payment method on file for amounts due under this Agreement.
8. Payment, Deposits, and Settlement
- Estimated charges and security deposits/authorizations are due at pickup.
- Final charges are calculated at return and may include adjustments (e.g., mileage, fuel, time, fees, damage).
- For card authorizations, we initiate release upon closing your rental; bank processing times vary.
- If your payment method fails, you remain liable; unpaid balances may be referred to collections.
9. Early Termination, Breach, and Repossession
We may terminate the Agreement and repossess the vehicle (without notice where permitted by law) if:
- You breach any term of this Agreement,
- You provided false or misleading information, or
- The vehicle is not returned when due.
No refunds are provided for early termination due to breach. You remain responsible for all applicable charges.
10. Privacy
Your personal information is processed in accordance with our Privacy Policy. By using our Services, you consent to the collection and use of your data as described therein, including for identity verification, fraud prevention, telematics, and service improvement.
11. Limitation of Liability
To the maximum extent permitted by law, Vista is not liable for:
- Indirect, incidental, special, punitive, or consequential damages,
- Loss of profits, business interruption, or opportunity, or
- Personal property left in the vehicle.
Nothing in this Agreement limits liability that cannot be limited by law.
12. Governing Law and Jurisdiction
This Agreement is governed by the laws of Saint Lucia. Disputes shall be resolved exclusively in the courts of Castries, Saint Lucia.
13. Force Majeure
Vista is not responsible for delays or failure to perform due to events beyond our reasonable control (including but not limited to severe weather, natural disasters, public emergencies, labor disputes, supply disruptions, or network outages).
14. Changes to Terms
We may modify these Terms at any time. Updated Terms will be posted on our website and will apply to future rentals. The Terms in effect on your pickup date govern your rental.
15. Entire Agreement; Severability; No Waiver
This Agreement (including your confirmation email, rate rules, Optional Products terms, and Privacy Policy) constitutes the entire agreement between you and Vista and supersedes prior understandings. If any provision is found unenforceable, the remainder will continue in effect. Our failure to enforce any provision is not a waiver of our rights.

By making a reservation, signing the rental agreement, or using our Services, you confirm that you have read, understood, and agree to be bound by these Terms.
